Privacy Policy
Last updated: 21 October 2026
Who we are
The Free World Knowledge Foundation (FWKF), a Portuguese philanthropic association, is responsible for the personal data it receives through its contact channels. For privacy enquiries or to exercise your rights, email info@freeworld.pt.
Data and purposes
When you write to us, we receive your name, email address, subject and message. We use these details to assess your request, reply and follow up on the conversation. Send only what is necessary; please avoid health information, identity documents or other people’s personal data in an initial enquiry. Sending a message does not subscribe you to a newsletter.
Legal bases
General enquiries and channel security are handled on the basis of our legitimate interests in communicating with people who contact us and preventing misuse, balanced against individual rights. Where your request concerns steps towards a contract at your request, that legal basis applies. We may also process data to meet legal obligations. Where consent is required, it will be requested separately and may be withdrawn.
Operation and security
Hosting and email services may process technical data such as IP address, access time and browser information to deliver and secure the service. The WordPress form uses an IP-derived identifier to limit submissions and short-lived security tokens. FWKF does not use this data for advertising, commercial profiling or solely automated decisions with legal effects.
Who may receive the data
Messages are addressed to the team handling the enquiry. Hosting, maintenance and email providers may process data to the extent necessary to deliver their services. Data may also be disclosed to authorities where required by law. Where a provider processes data outside the European Economic Area, a valid transfer mechanism is required, such as an adequacy decision or standard contractual clauses and applicable safeguards. You may request information about providers and safeguards through our contact address.
How long data is kept
Messages are kept while the enquiry is being handled and subsequently only as needed to document the response, meet a legal obligation or establish, exercise or defend rights. Retention needs should be reviewed when the matter closes. Form tokens expire after 15 minutes and anti-abuse counters after one hour; these periods do not describe retention of messages in email or hosting logs.
Your rights
Subject to applicable conditions, you may request access, rectification, erasure, restriction, objection and portability. You may withdraw consent without affecting the lawfulness of earlier processing. We normally respond within one month; you will be informed if a lawful extension is necessary. We may request only the information needed to confirm your identity. You may lodge a complaint with the Portuguese Data Protection Authority (CNPD).
Scope and changes
This policy covers the institutional website and initial enquiries. Participation in projects may require specific privacy information, provided at the time of collection. External websites have their own policies. We will update this page when practices change; the revision date identifies the current version.
The contact form sends your name, email address, subject and message to FormSubmit, which processes the submission and forwards it to info@freeworld.pt. The service may display an anti-spam verification before submission.
